Trust & Estates Paralegal/Legal Assistant

We are seeking a full-time Paralegal/Legal Assistant to join and assist our Trust & Estate practice group. This position could be a great opportunity for the right person.

Duties will include working with and initially as an assistant to our senior and very experienced T&E paralegal in all matters involved in administration of estates and trusts, working as a legal assistant in supporting our attorneys who practice primarily in this estate planning and estate/trust administration practice group and in all those matters regularly interacting with clients and family members of deceased persons who often have just experienced death of a treasured person in their lives. This position requires a people-person with fantastic client interaction and customer service skills and a person who is also a numbers-person who considers understanding and organizing estate and trust financial matters a challenge to be tackled and enjoyed. If you have an analytical inclination and if helping people is important to you personally, this may be a position for you.  Experience with estates and/or trust administration is preferred but we would be willing to train the right person. We want someone who will want to be part of a team practice group which desires to provide excellent services to our clients.

On the paralegal side, duties include all aspects of assisting with estates and trusts that are being administered, including drafting correspondence, drafting deeds, obtaining tax IDs, drafting estate and trust administration documents, dealing with the offices of the Commissioners of Accounts which oversee estate administrations across Virginia, scanning, filing, and helping with overall organization of the department and its files. On the legal assistant side, duties include assisting attorneys in managing and assisting with their practices and files in all aspects, including interacting with clients in the gathering and conveying of information and scheduling of whatever may be needed, including organizing and participating in client meetings for signing of estate documents as a notary or as a witness to the signing of certain documents by clients and may include assisting with preparation and editing of various estate planning documents.  

Position requires an individual with very high attention to detail, strict quality control standards, ability to learn and become proficient working with various legal software programs, highly proficient in WORD, time management skills, ability to handle multiple tasks concurrently and fantastic customer service and interaction skills. Law firm or equivalent experience preferred.

Litigation Associate

Associate Attorney – Community Associations

Rees Broome, PC, a Top 20 law firm in Virginia, is recruiting for an associate with 1-3 years of bankruptcy and general collections experience to assist our community association and HOA clients in our Community Association practice group. The position will be in our Tysons Corner location. This position offers competitive compensation and generous bonus plan. The firm actively engages in its associates’ professional growth. Our ideal candidate will have 1-3 years’ experience practicing general collections work for banks or other creditors, exceptional research and communication skills, a strong attention to detail, the ability to manage multiple clients simultaneously and excellent academic credentials.
 

• Independently manage a caseload of 250-400 active collection cases from initial intake to closing of files

• Work closely with paralegals, administrative assistants, and Shareholders on collection case load

• Review and interpret client documents and draft legal opinions for Shareholder review

• Regularly handle court appearances in multiple jurisdictions and handle abatement court cases for enforcement of covenants

• Routinely communicate with community association clients and their management agents and provide routine status reports

• Manage billing of hourly time and via task codes for fixed fee collections work

• Routinely attend on-site meetings at client community associations to oversee elections and Board meetings

Qualifications:

• JD from an accredited law school

• Admitted to practice in Virginia

• 1-3 years’ experience in collections

• Experience with collections, Fair Debt Collection Practices Act compliance, district court, and post-judgment enforcement

• Strong analytical skills.

• Strong written and oral communication skills

• Legal project management experience is helpful

Collections, Paralegal

FLSA STATUS: Non- Exempt

SUMMARY: Performs a variety of paralegal duties for attorneys according to established policies and procedures. Maintains positive contact with clients, attorneys, supervisor and staff. Observes confidentiality of client matters.

ESSENTIAL DUTIES AND RESPONSIBLITIES: “Essential Functions” are primary job duties that incumbents must be able to perform unassisted or with some reasonable accommodation made by the employer.

  • Complies with applicable laws and firm policies, including Fair Debt Collections Practices Act and Fair Credit Reporting Act.
  • Request updated statements of account from management or online and reconciles account balances according to procedure prior to pursuing legal action.
  • Prepare cases for attorney prior to court return date. Update account balance and communicate with attorney on action to be taken and prepare all related paperwork including praecipes, affidavits and garnishment dispositions. Review final docket with attorney prior to court date.
  • Process all payments on account and prepare transmittal memo to client regarding payment application.
  • Review team status report on a monthly basis. Ensure account balance and status is updated on each account each month for report and coordinate action on account with team attorney.
  • Prepare account information for reporting to the credit bureau and submits to team attorney for review
  • Perform address/asset searches through Postal Service, Accurint, DMV and Private Investigator when necessary.
  • Review and sort incoming mail, identifying time-sensitive documents and notifying attorney.
  • Establish and maintain a reminder system through Collection Manager (CM) and/or Outlook. Monitor all court dates and ensure that docket is prepared for attorney. Monitor all payment arrangements and advises attorney if any default exists. Monitor all deadlines for legal action and communicates same to attorney.
  • Gather account information and prepare payoffs as requested.
  • Follows the ethical requirements governing attorneys as set forth by the Rules of Professional Conduct of the State. Observe confidentiality of attorney-client relationship.
  • Accurately compose letters, memos and various other legal documents such as liens, promissory notes, suits and garnishments, utilizing appropriate legal terminology and document formats. Proofreads all work completely to ensure complete accuracy.
  • Bill time according to fee schedule policy and utilizing appropriate task codes.
  • Maintain telephone contact with clients and delinquent homeowners as needed.
  • Maintains all active case files and close files according to written CA practice group procedure.
  • Meet with both clients and delinquent homeowners regarding account resolution as required.
  • Complete critical tasks within specified time limits.

 

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:

  • Excellent grammar, proofreading and editing skills (e.g., punctuation, spelling, formatting. Correct errors in a timely manner and turn work product back to attorneys within prescribed time frame.
  • Exceptional math skills to verify calculations in work product. Maintain records and filing systems in an organized and systematic manner.
  • Some knowledge and/or understanding of collections as a specialty area of law practice.
  • Highly organized with the ability to prioritize numerous tasks and complete all work assigned within prescribed deadlines.
  • The capacity to communicate clearly and professionally, with clients, attorneys and other team members, both speaking and in writing.
  • The aptitude to follow instructions effectively from a diverse group to include clients, attorneys and managers, and provide information in a courteous and considerate manner.
  • The ability to maintain composure during periods when workload may increase due to influx of new clients.
  • Position occasionally requires more than 40 hours per week to perform the essential duties of the position; may require irregular hours at times.

 

EDUCATION AND EXPERIENCE REQUIREMENTS:

  • Bachelor’s degree
  • Years of experience will be considered in lieu of college level education.
  • Experience working in a law environment preferably as a paralegal or legal assistant.
